EVENT COORDINATION

The National HIDTA Assistance Center can assist all HIDTAs with the planning and implementation of a meeting, conference or event.  The NHAC Training Unit can work with you and help you select the event venue and negotiate the hotel contracts to exclude clauses that are unfavorable to our needs. 

We will work within your approved budget to calculate the required registration fee, meeting room space, hotel room costs, audiovisual needs and refreshments.   We can disseminate information to all participants regarding the event and coordinate participant registration with Capital Meeting Planning, Inc. The NHAC Multimedia Unit can cover your needs for posters, agendas, name tags, tent cards and will ship these materials to the event site.

Our Training Unit staff can manage the on-site greeting and registration process and serves as a liaison with hotel staff to ensure the success of the event.  NHAC staff can also oversee the meeting room set up the night before the event, resolve hotel on-site emergencies and follow up with thank you letters to Hotel Managers. At the conclusion of the event, we coordinate the billing and payment procedures and assist with settling the accounts.
